Job
Description:
The administrative assistant will work closely with
the NARHA Chief Executive Officer and directors.
This will include communication with the Board of
Trustees. Must be flexible, detailed oriented, and
have the ability to multi-task.. The administrative
assistant will be responsible for coordinating and
maintaining the communication processes in-house and
between groups of the association in support of the
association and Chief Executive Officer.
General Duties:

Work closely with
the executive committee and board on a daily
basis, providing key support
-
Maintain office
contracts for equipment & services
-
Negotiate services
and contracts with outside vendors
-
Collect and post
meeting minutes from boards, committees and
councils for distribution
-
Coordinate all
elements of the Board of Trustees meetings
-
Manage and
administer all conference-calling processes
-
Facilitate
development and maintenance of listings of all
company committees and boards
-
Maintain staff
directories, birthdays and anniversaries
-
Maintain Policies
& Procedures manuals for boards and committees
-
Order necessary
office equipment and supplies as needed
-
Promote
opportunities to support NARHA programs
-
Assist in the
monthly preparation and distribution of board
agenda, reports and other information
-
Other duties as
assigned or required
Scope of Responsibility:
Must be
familiar with NARHA policies and procedures and
employee handbook, be sensitive to the
interrelationship of both people and functions
between departments and maintain positive
relationships with outside vendors and clients.
Decision Making:
Exercise
administrative judgment and assume responsibility
for decisions, consequences, and results which have
an impact on people, cost, and/or quality of
service; be able to work with minimal supervision
and in a team setting; be able to assess workflows
in order to organize and prioritize work; use a high
degree of judgment and discretion in handling
confidential information, dealing with sensitive
matters, and in dealing with people.
Working Relationship & Habits:
Must work well with
all levels of team members, associates, customers
and members. This position involves daily contact
with team members, associates, vendors, boards and
committees. Must demonstrate good work habits and
attendance, and follow policies and procedures.
Communication:
Requires
good telephone etiquette and excellent oral and
written communication skills. Must be able to
create professional business letters, memos and
other communiqué. Excellent grammar and punctuation
skills.
Education & Experience:
Sufficient education and experience to perform the
about duties. Must be able to handle sensitive and
confidential information, make independent
decisions, prioritize, and multi-task.
Technical Experience:
Experience in
Microsoft Suite required. Experience in membership
database use is helpful.
Physical and Environmental Conditions:
This position exists
in an office environment requiring the incumbent to
perform normal activities including, but not limited
to, sitting or standing for long periods, filing,
retrieval, lifting (up to 25 lbs.) and operation of
office equipment. The use of a desktop computer
with keyboard and mouse is required daily. Some
travel required. May require working extra hours
and some weekends.

hour commensurate with experience
Employment Status: Regular Full Time,,
40 hour work-week
